Trustpoint is proud to partner with a nationally respected, large law firm in their search of a Legal Administrative Assistant on a direct hire basis. This flexible, hybrid role will be based out of the firm's Century City, CA office and will support the firm's bankruptcy and restructuring practice group. Successful candidates will have 5+ years of legal administrative experience and previous experience with bankruptcy and restructuring. This is an exciting new role to join a busy and collaborative team.

Responsibilities:

  • Proofread and redline work for spelling, grammar, and layout
  • Create and edit complex documents from multiple sources, including correspondence, memos, spreadsheets, and presentations
  • Preparation of exhibit binders, hearing binders and fee binders
  • E-filing in State and Federal Courts’ via CM/ECF and File and Serve Express, in multiple jurisdictions, particularly in Delaware
  • Review bills for accuracy and prepare transmittal letters to clients
  • Utilize firm document management systems
  • Establish, update and maintain client and internal files, including saving and organizing documents in the firm’s document management system. Retrieve information from files when needed
  • Open and review incoming mail, notifying appropriate personnel of time-sensitive correspondence. Draft written responses or reply by phone or email as needed
  • Format briefs, including TOCs and TOAs
  • Submit attorney expenses
  • Manage attorney calendars, schedule in-person and virtual meetings, and coordinate conferences, meetings, and appointments; facilitating hospitality and technology needs, travel arrangements, etc.
  • Manage incoming and outgoing electronic communications (including telephone, email, and fax)
  • Maintain attorneys’ contacts, including adding contacts to the firm’s CRM system and appropriate mailing lists
  • Process client/matter intake forms
  • Perform additional administrative tasks as requested, including time entry, managing electronic signatures, maintaining credentials, basic internet research, and tracking and reporting CLE hours

Requirements:

  • High School Diploma or GED
  • 5+ years of legal administrative assistant experience; previous experience in bankruptcy or restructuring
  • Proficiency in document management, time and billing, client matter intake, and e-filing systems
  • Advanced in MS Office Suite (Word, Outlook, Excel, and PowerPoint)
  • Able to prioritize tasks with competing deadlines, meet time constraints and periodically work overtime on weeknights or weekends, as needed
  • Exceptional proofreading and formatting skills
  • Excellent interpersonal communication skills, both with internal staff and clients; highly organized and detail-oriented
  • All candidates must be able to work at a computer screen for a sustained amount of time
