Great opportunity for an experienced paralegal with some management experience to move into an Office Manager role for a boutique immigration law firm in Falls Church, VA on a direct hire basis to help develop, maintain, and oversee the services the firm provides for clients and employees.  Responsibilities will include oversight of twelve to twenty personnel, invoicing, bookkeeping, managing firm’s docket, enforcement of office policies (including time entry), general office management, and human resources duties.  This position will assist with day-to-day matters, resolve office concerns, and create a positive work environment.  Duties include, but are not limited to the following:

  • Provide administrative assistance to partners in a law office.
  • Oversee management of schedules, including trial dates, hearings, and office meetings.
  • Coordinate appointments, meetings, and business travel.
  • Plan, support, and implement logistics for internal office events.
  • Coordinate with customers, external counsel, and other vendors to obtain and exchange information and documentation related to firm matters.
  • Assess the urgency of situations and determine appropriate actions, monitor status of pending items, provide follow up, and keep management informed by communicating a wide variety of information.
  • Coordinate preparation of legal correspondence and presentations.
  • Maintain legal case management system.
  • Complete semi-monthly payroll.
  • Coordinate human resources benefits with Paychex, the Firm’s outside vendor.
  • Maintain a database of employees’ accrued and used leave.
  • Train attorneys and support staff in the use of all office systems, including case management system, filing protocols, and docket procedures.
  • Maintain training material for new employees.
  • Utilize case management system for electronic data management of legal files and creation of management reports.
  • Ensure that all necessary information is shared between clients and attorneys on various files.
  • Oversee and coordinate acquisition and maintenance of legal research and reference materials for office, including hard copy and electronic materials.
  • Maintain a docket of the firm’s deadlines and follow up on deadlines.
  • Human Resources:  recruiting/staffing, updating/management of employee records, health benefits, employment verifications, employee time management, employee relations, health benefits and employee performance management and improvement of systems, employee relations and liaison between employee and management.
  • Organize/Maintain orderly detailed filing system for firm and human resources.
  • Ability to prioritize and manage multiple projects simultaneously and follow through in a timely manner.
  • Other duties as assigned.

Qualifications:

  • College Degree with prior management experience
  • 2-3 years of management experience
  • Some previous accounting or bookkeeping
  • Previous experience as a paralegal is preferred
  • Fluency in Spanish and English is preferred
  • Willingness and ability to learn new skills
  • Operation of telephones, copier, fax, scanner, printers
  • Must be self-motivated, work independently and as part of a team
  • Knowledge of MS Office Suite (Excel, Word, Outlook)
  • Familiarity with INS Zoom is preferred
  • Strong initiative required; ability to work independently with minimal direct supervision.
  • Excellent resource management abilities (diplomatic, respectful, personable, articulate, and professional at all times)
  • Effective office management abilities (time entry, office operations, supplies, deadline management)
  • Working knowledge of office budgets, scheduling, expense reports, and invoicing
  • Working knowledge of accounting or bookkeeping, contracts, office workflows, and human resources practices
  • Ability to draft formal business correspondence
  • Strong organizational skills with great attention to detail
  • Flexibility in dealing with simultaneous projects
  • Ability to convey information and ideas through speech in ways that others will understand
  • Ability to act as a liaison between other management personnel and staff
