- Special Schedule: Thursday to Monday, 10am to 7pm local time
Position Purpose and Objective
The Legal Secretary will provide administrative, technical, secretarial and litigation related services to the Employment Law Department partners. A successful Legal Secretary will:
Job Description
- Provide evening and weekend support to Employment Law Department
- Maintain a consistent physical presence required to facilitate an interactive and collaborative environment ensuring seamless support to the practice
- Produce professional pleadings and other litigation documents in conformance with applicable local and judge-specific rules, and electronically file with the Court as needed
- Create and input information into large databases and use Excel to prepare charts, graphs and analyses
- Coordinate and manage legal practice tasks and projects
- Coordinate pending matters, projects, and action items for each day, tracking deadlines and follow up
- Maintain client materials in document management system
- Proofread and redline complex legal documents and correspondence
- Create and update Table of Authorities
- Prepare legal documents and correspondence; apply subject matter expertise in coordination of legal practice tasks and projects
- Work overtime as required
- Demonstrate adaptability, flexibility, initiative and innovation in handling a wide variety of additional projects as required
Qualifications
- At least 2 years of legal experience or relevant legal experience
- Ability to communicate effectively with attorneys, clients and other support staff to successfully accomplish goals
- Exceptional analytical, organizational and problem-solving skills
- Ability to function well under pressure, multi-task and meet tight deadlines
- Advanced to Expert-level proficiency in MS Word, Excel and PowerPoint
- Advanced proficiency in copy-editing and proofreading
- Ability to perform internet, basic legal database, and other research
- Ability to proactively resolve complex issues
- Knowledge of legal office and litigation terminology and procedures
- Knowledge of court rule concerning e-filing and pleadings formats
- Must be detail oriented
- Ability to work successfully in a fast-paced environment, both independently and as part of a team
- Proven ability to effectively coordinate with other firm-wide departments with the necessary communication skills to transfer instructions/data, verify results, resolution of conflict and delivery or results
- Excellent written and oral communication skills required with strong ability to meet deadlines and provide results while supporting Firm policy and procedures
- Associate’s degree or Bachelor’s degree (preferred)
