Truspoint is excited to partner with an Am Law 100 law firm in their search for a Litigation Legal Secretary to support the Intellectual Property Litigation practice group in either their DC or Northern Virginia office. Successful candidates will have 7+ years' experience in litigation and preferably some experience with intellectual property litigation.

Responsibilities:

  • Produce all document processing and correspondence assignments accurately and efficiently
  • Manage, organize, and maintain all documents and pleadings
  • Maintain attorney and paralegal calendars; schedule and coordinate meetings, ensuring appropriate stakeholders are aware of court items, scheduling conference rooms as needed
  • Coordinate with docket department for related deadlines
  • Draft pleading and discovery documents; drafting shell notices, shell declarations, shell proposed orders and proof of service
  • Court filings and service of documents; e-file and serve documents required by federal, state and local rules
  • Coordinate with vendors for Service of Process and to provide courtesy and chambers copies
  • Conduct attorney admissions to Various Courts (California, Washington State, NY, etc.)
  • Request court reporters and videographers for depositions and court hearings
  • Assist with deposition exhibits preparation
  • Handle all incoming telephone calls and placement of outgoing calls
  • Maintain good client relationships for attorneys
  • Enter time using Intapp
  • Assist other team timekeepers, as needed
  • Prepare New Business Forms for new and existing clients, conflict sheets and draft engagement and waiver letters
  • Prepare and process invoices, expense reports, check requests, travel reimbursements, cell phone reimbursements, etc.
  • Make travel arrangements, adhering to the firm’s Travel Policy
  • Review, distribute and process prebills
  • Other duties and special projects as needed

Requirements:

  • 7+ years of experience in litigation as a Legal Secretary, previous experience in intellectual property litigation preferred
  • Able to work overtime as needed
  • Proficiency in Microsoft Office Suite
  • Bachelor's degree (preferred)
  • Able to work independently and as part of a team
  • Ability to organize and prioritize tasks with competing deadlines
  • Excellent written and verbal communication skills; exceptional attention to detail
  • Able to communicate professionally with all levels of staff, attorneys and clients
  • All candidates must be able to work at a computer screen for a sustained amount of time
