Trusptoint is excited to partner with a nationally respected law firm in their search of an Office Manager on a direct hire basis. This on-site role is a great opportunity to join a growing firm and assist in designing and implementing the firm's strategic direction. Successful candidates will have 5+ years of management experience within a law firm.
Responsibilities:
- Coordinates recruiting and hiring of staff members, including skills testing, employment verification, reference checking, orientation, and training. Assess and recommends staffing levels and appropriate adjustments, and assures proper workflow for the office.
- Supervises performance of staff members in the office. Advises attorneys and supervisors on employee performance standards and counsels employees as needed. Mentors employees with performance-related issues and facilitates remedies to affect improved performance.
- Monitoring and approving staff PTO, staff timesheets, staff coverage, and workload assignments within the office.
- Manages all administrative day to day office functions.
- Assists and works with all firm departments on various firm processes, projects and initiatives (Billing, Accounting, Marketing, Recruiting, Risk Management, Human Resources, IT)
- Reviews and approves office vendor invoices and office expense requests. Negotiates pricing with certain office specific vendors to facilitate cost control.
- Prepares annual office expense budget. Prepares and distributes statistical analyses, as necessary.
- Acts as liaison with building management and parking garage management. May review and administer service agreements and vendor contracts related to facilities and office services.
- Coordinates internal and external resources to facilitate the recovery process following an emergency at the local level or to assist other offices as needed during an emergency.
- Assists in Legal work as needed within the office. This work may include paralegal or legal secretarial tasks, along with assisting in training legal or administrative staff.
Requirements:
- Bachelor’s degree in Business, Management, Human Resource Management or a closely related field preferred, or equivalent experience.
- 5+ years of work experience at the management level in a law firm setting or other professional services organization.
- 5+ years as a Legal Secretary, Assistant or Paralegal.
- Strong verbal and written communication skills and etiquette
- Advanced proficiency with Microsoft Office. Proficiency with accounting and financial software.
- Ability to organize and prioritize numerous tasks completing all under time constraints and while maintaining a high degree of attention to detail.
- Ability to retrieve and distribute files, written documents, or other business material weighing up to 20 pounds as well as the ability to retrieve and replace objects from shelves of up to eight feet high.
- Flexibility to work more than 40 hours per week in order to perform the essential duties of the position. Ability to travel on firm business, as needed.
